1. Introduction, purpose and scope

This notice explains in detail what personal data we process, why we process it, how long we keep it, who the possible data processors are, and how you can exercise your rights as a data subject. It covers data collected through the forms on verasolutions.net, email enquiries, and services linked to the Website. VERA Solutions is established in Hungary and processes personal data in accordance with the EU General Data Protection Regulation (GDPR) and applicable Hungarian law.

2. Definitions

Terms such as "personal data", "processing" and "data processor" have the meaning given to them by the GDPR.

3. Legal basis and purposes

Processing of data submitted on the Website is primarily based on the data subject's consent (Article 6(1)(a) GDPR). In specific cases other legal bases may apply (performance of a contract, legal obligation, legitimate interest). Specific purposes:

  • Contact, quote requests and managing client relationships (communication, callbacks, follow-up).
  • Administrative and technical tasks required to operate the Website (form handling, record keeping).
  • Compliance with legal obligations (e.g. invoicing, accounting retention obligations) where relevant.
  • Where separate consent is given: marketing notifications by email, only with the data subject's explicit consent.

4. Categories of data

Typical data types collected via the Website include:

  • Identification data: first name, last name.
  • Contact data: email address, phone number, postal address (if provided).
  • Communication content: the text of any message, question or complaint submitted via the form.
  • Technical data (server logs, IP address): processed solely for service security and troubleshooting.

We do not, by default, request or process special categories of personal data (e.g. health data, racial/ethnic origin, political opinions). If such processing ever becomes necessary, it will be preceded by a separate legal basis and explicit written information.

5. Retention period

  • Contact form data: by default 12 months from the end of the contact.
  • Data related to invoicing: for the period prescribed by law.
  • Marketing data based on consent: until consent is withdrawn.
  • Server logs and technical records: 30–90 days.

6. Data transfers and processors

In the course of operating the Website, data may be transferred as needed to the following types of third parties:

  • Website and form handling: Lovable, Vercel, or the chosen web hosting / form provider.
  • Email service: e.g. Gmail / Google Workspace.
  • Automation providers: Zapier / Make (Integromat) or our own backend webhooks.
  • Invoicing / CRM: if a CRM or invoicing system is connected to the Website.

Data processing agreement: we conclude a valid Data Processing Agreement (DPA) with every external provider where required. Where data is transferred to third countries, the transfer is based only on lawful mechanisms (e.g. Standard Contractual Clauses).

7. Your rights as a data subject

  • Right to erasure ("right to be forgotten").
  • Right to restriction of processing.
  • Right to data portability.
  • Right to object.
  • Right to withdraw consent at any time.

Right to lodge a complaint with the supervisory authority: NAIH (Hungarian National Authority for Data Protection and Freedom of Information), 1055 Budapest, Falk Miksa u. 9–11., https://www.naih.hu. EU residents may also lodge a complaint with their local supervisory authority.

8. Automated decision-making, profiling

The Website does not currently carry out automated decision-making or profiling that produces legal effects concerning the data subject.

9. Security measures

  • Access controls.
  • Encrypted communication (HTTPS/TLS).
  • Regular backups and software updates.
  • Strict Data Processing Agreements (DPAs) with our processors.
  • Data protection and security training for staff.

10. Cookies and similar technologies

The Website may use cookies and similar technologies for functionality required to operate the site and, where applicable, for analytics.

11. Changes

We reserve the right to update this notice as needed. The effective date is shown at the top of the document.
